Module: Vouchers

Overview

The Vouchers module enables restaurants and hotels to sell, manage, and redeem gift vouchers across every sales channel — from the POS counter to a branded online webshop, mailing campaigns, and the Loyalty Hub. Two voucher types are supported: monetary vouchers (a defined credit amount) and experience vouchers (e.g. "3-course dinner for 2" or "Double room overnight stay"), making the module equally relevant for restaurant and hotel tenants. Vouchers can be issued as physical NFC cards, QR-printed cards, or digital PDF vouchers sent directly to the recipient by email.

Core Voucher Features

Feature

Description

POS voucher sales

Sell vouchers directly from the POS with assignment to a physical card or QR/NFC output

Experience vouchers

Distinct voucher type for non-monetary experiences (e.g. "3-course dinner for 2", "overnight stay in a double room") — relevant for hotel tenants

Online webshop (Print@Home)

Branded self-service webshop where guests purchase and pay for vouchers online, then receive a printable PDF

Email delivery to recipient

Voucher delivered as PDF directly to the recipient's email address — no self-printing required

Customizable templates

Occasion-specific voucher designs (birthday, Christmas, wedding, etc.) using a builder analogous to the Mailings module's email builder

Personal dedication text

Purchasers can add a personal message or dedication when buying a voucher — printed on Print@Home and digital vouchers

POS redemption via QR or NFC

Vouchers are redeemed at the POS by scanning a QR code or reading an NFC card

Manual code entry fallback

Staff can manually enter the voucher code at the POS — fallback for unreadable QR/NFC or telephone redemptions

Partial redemption

A voucher can partially cover a bill; the remaining balance is settled with another payment method

Multi-outlet validity

Configurable per voucher: valid across all outlets of a tenant or restricted to the issuing outlet

Block / cancel & reissue

Vouchers can be blocked or cancelled (e.g. lost physical card) and reissued with a new code

Loyalty Hub integration

If Loyalty Hub is booked, a purchased voucher can be loaded directly onto the guest's account instead of being issued as a separate physical/digital item

Campaign sales channel

Vouchers can be sold via mailing campaigns (e.g. seasonal newsletter with a direct link into the webshop)

Voucher overview & report

Full overview of open, redeemed, and expired vouchers including total value — makes outstanding liability visible

Sales channel analytics

Breakdown of voucher sales by channel: POS, webshop, Loyalty Hub, and campaign

Voucher Types

Two distinct voucher types are available, each with its own redemption logic:

Type

Description

Monetary voucher

A defined credit amount (e.g. CHF 50) that is deducted from the bill at redemption; supports partial redemption

Experience voucher

A named, non-monetary experience (e.g. "3-course dinner for 2", "overnight stay in a double room"); redeemed as a defined service, not a deducted amount — particularly relevant for hotel tenants

Sales Channels

Vouchers can be sold through four distinct channels, all feeding into a single management view:

  • POS — staff sell a voucher at the counter; the voucher is assigned to a physical NFC card on the spot, printed as a QR code, or issued digitally

  • Online webshop (Print@Home) — guests purchase and pay online; they receive a printable PDF voucher with the option for a direct email delivery to the recipient

  • Mailing campaign — seasonal or occasion-based voucher promotions are distributed via newsletter (Mailings module) with a direct link to the webshop

  • Loyalty Hub — if Loyalty Hub is booked, a purchased voucher can be loaded directly onto the guest's loyalty account, replacing the need for a separate physical or digital voucher

Webshop & Digital Delivery

The online webshop allows guests to purchase vouchers independently, at any time, with integrated payment processing.

  • Branded webshop hosted under the tenant's domain or a servEase subdomain

  • Online payment at checkout (card payment)

  • Choice of delivery format at purchase: printable PDF (Print@Home) or email delivery directly to the recipient

  • Purchaser can add a personal dedication text at checkout — rendered on the voucher PDF

  • Occasion-specific voucher templates selectable at purchase (birthday, Christmas, wedding, and more)

Voucher Templates & Design

Voucher designs are managed using a visual template builder analogous to the email builder in the Mailings & Campaigns module.

  • Drag-and-drop builder for voucher layouts

  • Occasion-specific template variants: birthday, Christmas, wedding, and custom occasions

  • Branded with the tenant's logo, colors, and typography

  • Personal dedication text field rendered within the designed template

  • Templates apply to both Print@Home PDFs and email-delivered digital vouchers

POS Redemption

Vouchers are redeemed at the POS through a streamlined flow with multiple input methods:

Input method

Description

QR code scan

Guest presents a printed or digital voucher; staff scan the QR code directly at the POS

NFC card read

Staff tap the guest's physical NFC voucher card to read it at the POS

Manual code entry

Staff enter the voucher code manually — fallback for unreadable QR/NFC or telephone redemptions

  • Partial redemption — if the voucher value does not cover the full bill, the remainder is settled with any other available payment method

  • Multi-outlet configuration — each voucher can be configured as valid tenant-wide (across all outlets) or restricted to the selling outlet

Voucher Lifecycle Management

Status

Description

Open

Voucher has been issued and has remaining value or has not yet been redeemed

Partially redeemed

Voucher has been partially used; remaining balance tracked

Redeemed

Voucher fully used

Expired

Voucher passed its validity date without being redeemed

Blocked / cancelled

Voucher manually blocked (e.g. lost card); can be reissued with a new code

  • Block & reissue — a blocked voucher can be reissued with a new code; the original code is permanently invalidated

  • Validity period — configurable per voucher type; expiry date printed on the voucher and enforced at redemption

Loyalty Hub Integration (requires Loyalty Hub module)

If the Loyalty Hub module is booked, voucher issuance and redemption can be tightly integrated with the guest's loyalty account:

  • A purchased voucher can be posted directly to the guest's Loyalty Hub account — no separate physical card or PDF required

  • Guest redeems at the POS via their loyalty account, not a separate voucher code

  • Full history of voucher transactions visible in the guest's account statement inside the Loyalty Hub portal
